ROLE SUMMARY

As Senior Operations Manager, you will be a critical partner to Sales, Operations, and our customers — going beyond order administration to own the data, pricing, and reporting work that keeps our accounts running smoothly. This role calls for real customer-facing experience and strong Excel/ERP skills: you’ll work fast and independently to pull data, build price files, and resolve order issues before they become customer problems.

You will become the go-to expert on our order management, ERP, and reporting systems, providing the day-to-day analysis — including price file support, weekly reporting, and forecastvs-actual analysis — that keeps sales conversations, account check-ins, and operational decisions grounded in accurate, current data. You’ll work closely with the Director of Operations, Sales, Account Management, and Supply Chain to make sure every order — and every question about it — gets a fast, informed answer.

KEY RESPONSIBILITIES

Data Analysis & Reporting

  • Build and maintain reporting that tracks orders as they move through the supply chain — from order entry through fulfillment and delivery.
  • Extract, clean, and consolidate order and sales data from ERP, CRM, and Excel sources — including month-end reconciliations — to keep reporting accurate and audit-ready.
  • Own the weekly operations/sales reporting cycle, pulling and finalizing data from ERP and CRM systems on a firm deadline.
  • Build and maintain simple pricing/price files, giving the sales and leadership team fast, accurate pricing look-ups and updates.
  • Analyze order trends, fill rates, and delivery performance using Excel (pivot tables, macros) and BI tools, translating findings into clear summaries for sales and leadership.
  • Provide ad hoc data pulls and analysis to support sales conversations, account checkins, and pricing or inventory questions.
  • Compare customer-provided forecasts against actual order activity, flagging discrepancies and surfacing trends that inform sales and supply chain planning.
  • Identify patterns or recurring issues in order flow and escalate root causes to the right team for resolution.

Customer & Account Support

  • Serve as a credible, customer-facing point of contact — proactively answering questions about order status, delivery timing, and order history before customers have to ask.
  • Partner with Account Management and Sales to prepare data and talking points for customer check-ins and business reviews.
  • Help maintain a consistent, professional communication cadence with accounts, from order placement through delivery.
  • Support the resolution of order-related customer concerns, looping in the right internal teams as needed.

Order Management & Support

  • Monitor incoming orders daily, flagging exceptions, delays, or discrepancies before they become customer-facing issues.
  • Serve as a primary point of contact for the sales and account teams on order status, tracking, and expected delivery timing.
  • Coordinate with Supply Chain and manufacturing teams to help resolve order holds, shortages, and shipping issues quickly.
  • Maintain accurate, up-to-date order records across ERP and order management systems.

Cross-Functional Collaboration

  • Work closely with Sales, Operations, Supply Chain, and Finance to keep everyone aligned on order status and customer commitments.
  • Partner directly with the Director of Operations Planning to troubleshoot escalations, test new approaches, and continuously improve how orders and data flow through the business.
  • Flag process gaps or recurring friction points in the order lifecycle and suggest improvements.
  • Contribute to documenting SOPs and standardizing order and reporting workflows, reducing manual work and inconsistency across the team.
  • Support the broader Operations team with day-to-day analytical and problemsolving needs as priorities shift.

QUALIFICATIONS

Required

  • 5+ years of experience in operations, order management, sales support, or a related analytical role — ideally in B2B distribution, manufacturing, or supply chain-intensive industries.
  • Proven experience working directly with customers or accounts on order status, escalations, or account management — this is not a back-office-only role.
  • Advanced Microsoft Excel skills (pivot tables, VLOOKUP/XLOOKUP, macros), capable of manipulating large, complex data sets and translating findings for a broader working group.
  • Hands-on experience building or maintaining pricing/price files, with an eye for accuracy across a multi-SKU business.
  • Excellent written and verbal communication skills; able to explain order status and data clearly and credibly to both customers and internal leadership.
  • Highly organized and detail-oriented, with the ability to manage multiple orders, reports, and requests at once without losing accuracy.
  • A proactive, service-minded approach — you look for issues before they’re reported and follow through until they’re resolved.
  • Comfortable working independently and moving fast — able to own a data request or issue from question to answer with minimal oversight, while staying collaborativeacross departments and systems.
  • Bachelor’s degree in Business, Supply Chain, Finance, or a related field, or equivalent practical experience.

Preferred

  • Familiarity with ERP/order management systems; experience manipulating and utilizing complex datasets to create relevant, actionable insights.
  • Experience supporting a sales or account management team in a fast-paced, high-SKU environment.
  • Exposure to supply chain or logistics data, such as shipment tracking, fill rates, and lead times.
  • Experience with BI/reporting tools (Power BI, Tableau, or similar).
  • Background in pricing administration, quoting, or margin analysis.
  • Experience with demand planning, forecasting, or inventory/replenishment analytics.
